A.) Make sure your design meets postal guidelines and includes the appropriate indicia (bulk mail permit box). Visit our templates page for postal templates. If you have a question about your design layout, email a low-resolution proof to us and we will review it for you. Make sure to fill out the Direct Mail Estimate Request form. Include as much relevant information as possible. If you need a list, make sure to communicate that or any other special instructions in the appropriate field. We will process your estimate request and give you the information back as soon as possible. It's important to note that you will have to place a separate order for the actual printing of the pieces. Please be sure to indicate what you would like us to do with any extra pieces that might be leftover. If you want extra pieces mailed to you, additional shipping charges may apply.

A.) Our direct mail service includes postage cost, processing your list, CASS certification, removing any address duplicates, inkjetting addresses onto your mail pieces, packing them into postal trays, and delivery to the post office.

A.) Postcards, brochures, and catalogs are routinely mailed through our service.
Q.) What are the size limitations to mailing? [back

A.) The largest mailpiece

service is 6.125" x 11.5". The smallest piece that can be sent is 3.5" x 5".
Q.) What happens to incorrect addresses in my mailing list? [back

A.) Any incorrect or duplicate addresses caught by the CASS report are corrected or removed.
Q.) What postage rate is right for me? [back

A.) Presorted First Class:
4"x6" postcards are always using First Class because they consistently receive a lower rate than regular mail. They are typically delivered between 1-3 days in Oregon and throughout the West Coast, and 3-5 days nationally from the time the jobs are dropped off at the Post Office. We can not guarantee those times for the Post Office, however.
5"x7", 5"x8", 6"x9", and 6"x11" postcards in addition to 8.5"x11" (letter), 8.5"x14" (legal), and 11"x17" (tabloid) brochures can be sent using First Class Mail. This service is the fastest offered within discount mail and price will depend on the exact piece you wish to send. If you need your piece delivered by a certain date, choose First Class; if your piece can be delivered anytime in 1-3 weeks, use Standard rate.
Presorted Standard (bulk mail)
Presorted Standard Mail usually takes 5-21 days to reach customers. Pieces can weigh up to 3.5 ounces each.
Q.) What is the difference between first class and standard postage? [back

Q.) What is the minimum order necessary for mailing? [back

A: 500 pieces. In many cases our minimum runs are limited to 1000 and sometimes 5000. If you order a product you plan on mailing and only want to order 500 pieces, or less than the minimum quantity of your order, then please provide instructions on what you would like us to do with the extra pieces in the special instructions or comments section of your order or direct mail estimate request.
Q.) I have extras leftover. How can I mail them? [back

A: You can mail any extras by placing a stamp over the indicia mark.
Q.) Where is my mail being mailed from? [back to top]
A: Portland, Oregon.
Q.) Can I have my mail sent from a city other than Portland? [back to top]
A: No, unfortunately NitroPrint.com does not mail pieces with presorted postage rates from a city other than Portland, Oregon.
Q.) Do you print labels on postcards and/or envelopes? [back

A: We typically inkjet directly onto your piece. If that is not possible we can inkjet onto a label, however there is an extra charge for the service. To avoid the need to print labels, please make sure you are setting up your mailer files correctly and also make sure to avoid the appropriate stock (ie. don't order UV on both sides of the postcard). NitroPrint.com can not be held responsible for reprinting material that was ordered or designed incorrectly for mailing.
Q.) What is tabbing? [back

A: Tabbing is the process of taking any mail piece that is folded and sealing it with a small sticker (or tab). Depending on how the piece opens, it will require one tab or two. Please make sure to design any mailer so that the opening is on the top of the piece- this will only require one tab and will be more likely to avoid any additional unnecessary charges.
Q.) Can I use my non-profit indicia with your mailing services? [back

A: Yes, if your non-profit resides in or near Portland, Oregon. There could be an additional charge for delivering your pieces to be dropped off outside of Portland.
Q.) I have a non-profit. Can I get a non-profit postal rate? [back

A: Yes, however you must apply for non-profit status at the post office where you will be dropping off the mailing. You can get additional drop-off locations, however that must be handled by the permit-issuing department at the post office where you will be dropping off the pieces.
Q.)
How many additional days does my mailing add to my print order? [back

A: Please add 2-5 business days after your order is printed and complete. This does not include the time it takes for the Post Office to process your pieces.
Q.) Can I buy a mailing list from NitroPrint.com? [back

A: Yes, we would be happy to assist you with your list needs. Please indicate your need in the special instructions or comments section of your order or direct mail estimate request.
Q.) There are more addresses on my list than I'm ordering. How do you decide who gets mailed? [back

A: Normal protocol is to start at the top of the list and work our way down it until we run out of addresses or pieces, whichever comes first. Most of the time we overrun our print runs to compensate for potential production errors, as such you could be charged postage and mailing service fees for any pieces mailed over the amount you paid for initially, but not for the printing of the extra pieces. Feel free to provide special instructions to us on how you would prefer the mailing run at the time you submit your mailing list or request your direct mail estimate request. We can cut off at the number you ordered exactly, regardless of overprints, or take randomly from the list to get to your desired number, etc. You need to provide clear communication and instruction at the onset of your order and through an appropriate channel such as the direct mail estimate request form.
Q.) Can you verify my postcards were mailed? [back

A: The USPS can provide verification upon request. It is recommended to place your name and address and some friends or family's names and addresses in your mailing list for verification.
Q.) Can you insert a brochure or letter into an envelope? [back

A: Yes, there is an additional charge for inserting.
Q.) What fonts are available for inkjetting? [back

A: To receive an automated rate that is a lower cost to you, the Post Office has very strict guidelines on fonts. As such we will use a non-serif font.
Q.) Can diecuts be mailed? [back

A: The USPS does not allow diecuts to be mailed.
Q.) How do I request a quote for a custom campaign? [back

Q.) Does the estimate include the price of printing? [back

Q.) Why am I being charged a different amount than what I was given as an estimate? [back

A: Due to the different processes and inherent complexity of the direct mail service, it's possible that there might be flucuations in your actual cost compared to the estimate we provide for you. In most cases, the difference is small, and we will do everything we can to communicate any possible issues we foresee with you before your job goes to press and/or gets processed for mailing.
